1. Who we are

MyAIAccountant (the “Service”) is operated by Elite AI Empire LLC. We provide AI-assisted bookkeeping software for solopreneurs and SMBs. This policy explains what personal data we collect, why, how long we keep it, and the rights you have over it.

2. Data we collect

Account data — email, password hash, workspace name, billing address.
Financial data you import — bank transactions (via Plaid), invoices, receipts, IRS forms you upload.
Usage data — pages viewed, features used, error logs (no third-party ad trackers).
Payment data — processed by Stripe; we never see your full card number.

Data minimization: we only request data we actively use. We do not sell, rent, or share your data with advertisers.

3. How we use it

Run the AI categorization, reconciliation, and tax-prep features you ask for.
Send transactional email (signup confirm, billing receipts, security alerts).
Provide product support when you contact us.
Detect fraud, abuse, and security incidents.

AI processing: categorization runs on Anthropic’s API. Anthropic does not train on your data per their zero-retention API agreement. Transcripts are deleted within 30 days.

4. Your rights (GDPR / CCPA)

Access — request a full export of your data (CSV / JSON).
Rectification — correct inaccurate data in-app or by request.
Erasure — delete your account; we wipe records within 30 days (legal-hold copies retained per IRS retention law for 7 years for tax records).
Portability — export to CSV / OFX / QBO format any time.
Objection — opt out of any non-essential email.
Do-not-sell — we do not sell personal data; nothing to opt out of.

5. Cookies

We use a single first-party session cookie to keep you logged in. No third-party advertising cookies. No cross-site tracking pixels.

6. Subprocessors

Stripe — payment processing
Plaid — bank connectivity (you authorize per institution)
Anthropic — AI inference (zero-retention)
Hetzner Cloud — hosting (Germany / Finland datacenters)
Resend / SES — transactional email

7. Security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Bank credentials never touch our servers; Plaid holds them. Passwords are Argon2id-hashed. Two-factor authentication is available on every plan.

8. Children

Service is not directed at users under 18. We do not knowingly collect data from minors.

9. Changes

If we change this policy materially we will email all active users at least 30 days before the change takes effect.
